Success story
Sagem-Interstar and large international HR firm team up to boost productivity and save costs
A major human resources firm (HRF for this story) with offices in the U.S. and Europe recently replaced two expensive and error-prone systems with the award-winning XMediusFAX SP fax server.
HRF was spending more than $500,000 per year processing timesheets using a fax service bureau in the U.S. and more than $100,000 per year using a courier service in Europe. The process was slow and prone to human error, as well as to telephony and fax machine failures. This is a mission-critical activity for HRF and they could not afford downtime.
As well, they needed a fax server solution that would accelerate timesheet and invoice processing; eliminate errors and cut costs; and be scalable to handle the “Friday crunch.” The European branch had several additional requirements.
Sagem-Interstar installed the boardless XMediusFAX SP in a two-server, active-active configuration, giving HRF a bullet-proof hardware-software solution featuring XMediusFAX SP’s built-in replication, fault tolerance and load balancing. Additionally, Sagem-Interstar worked with Cisco and the customer’s telecom provider to integrate redundant PSTN gateways and telephone number rollover to ensure that there was no single point of failure.
HRF enjoyed substantial benefits immediately. The new system eliminates manual fax handling and data inputting, ensuring faster and more accurate data processing. XMediusFAX SP uses a combination of the inbound 1-800 number and the fax caller ID to route faxes to specific folders. OCR and forms recognition software extract information from the fax images and insert it into payroll and invoicing databases for validation.
With the elimination of fax paper and toners alone, XMediusFAX quickly paid for itself. To solve the Friday crunch, XMediusFAX SP plus HRF’s eight T1 lines easily handle greater than 50,000 faxes in a six-hour time span. This robust solution can process 184 simultaneous fax calls. And employees who manually processed and filed the faxes were redeployed to higher-gain activities.
HRF Europe had two additional requirements. Sagem-Interstar installed its XTrax fax workflow software to automatically route faxes into different work queues. Using OCR software built into XTrax, HRF agents extract data from timesheets and insert it into payroll and financial systems. As well, Sagem-Interstar helped develop MySQL routines and replication procedures to perform incremental backups to the customer’s Business Recovery site.
